Learn how to use AcuBliss's built-in roles to control staff access, protect your practice, and create custom permission sets.

Overview

We include a full roles and permissions system that lets you control exactly what each staff member can see and do. You'll find this page at Settings > Roles & Permissions.

In most cases, you won't need to touch this page at all — roles are simply assigned when you add a new staff member in Settings > Practice > Staff. But if you want to understand what each role includes, or build a custom one, everything you need is here.

Built-In Roles

AcuBliss comes with six default roles out of the box. The top of the page shows each role; the full permissions grid is displayed below.

  • Admin — Full access to everything in the software. Only assign this role to someone you fully trust with all practice data and settings.

  • Manager — A strong all-around role for front office leads or practice managers. More permissions than Front Office, but without full admin access.

  • Front Office — A lighter version of Manager. Good for reception or check-in staff who don't need higher-level access.

  • Practitioner — Includes specialized permissions for clinical workflows like creating intakes and writing prescriptions.

  • Biller — Scoped for billing and claims work. Ideal for in-house or external billing staff who shouldn't have broader access.

  • Inventory — Limited to inventory management. A good option for someone like an intern who only needs to help with product stock.

💡 Tip: Not sure which role to use? Start with Manager for most front office staff. You can always adjust permissions later if you find it's more — or less — than they need.

Assigning Roles to Staff

Roles are assigned when adding or editing a staff member — not on this page. Head to Settings > Practice > Staff, open the staff member's record, and select the appropriate role from the dropdown.

Creating Custom Roles

If the default roles don't quite fit your needs, you can build your own. Click Add Role on the Roles page to get started. You can base a new role on an existing one and then customize specific permissions from there.

For example, if you want your billing staff to also have access to inventory reports, you could create a Super Biller role based on the Biller role and enable just that additional permission. Any custom roles you create will appear alongside the default ones and can be assigned to staff just like any other role.

Security & Audit Logging

AcuBliss was designed with practice security in mind. Every action taken in the software — every view, every click, every charge voided — is logged and audited. This full audit trail exists to help protect your practice.

⚠️ Important: The Admin role carries full privilege across the entire platform. Reserve it for owners or trusted senior staff. The roles and permissions system exists in part to help prevent internal theft and unauthorized access — a real concern in multi-staff practices.
