Onboarding Guide for Larger Practices

Welcome to AcuBliss! We're here to help you get your practice fully set up and running smoothly. This guide walks you through each step of the onboarding process, from initial setup to staff training and data migration.

Phase 1: Initial Setup

Step 1: Sign Up & Complete the Setup Wizard

After registering your account, you'll go through a one-time setup wizard (about 20 minutes). You'll enter:

  • Number of treatment rooms

  • Sales tax rate

  • Staff members

  • Primary provider work hours

  • Services you offer and their durations

This gives the system the foundational information about how your practice operates.

Invite Your Staff

Invite your front office administrators and other team members to the system.

To invite a staff member, you'll need:

  • First name

  • Last name

  • Email address

  • Date of birth (for security validation if the email is mistyped)

They'll receive an email link to create their password and access the system.

Step 2: Configure Your Settings

Click the Settings button to access all configuration pages. Go through each page and click the blue "Edit" buttons to customize AcuBliss for your practice.

Each settings page has instructions to guide you. Don't worry about perfection—just do your best to configure things based on how you currently run your practice.

Important: As you go through the settings, keep two lists:

  1. Questions List – Write down anything unclear or that you need more information about. We'll address all of these on your support call.

  2. To-Do List – Note items you're not ready to complete yet or need to work on later:

    • Service descriptions for online booking

    • Custom forms or documents to upload

    • Specific scheduling rules

    • Product catalog

Why do this on your own first? Going through settings yourself (along with any administrators) makes our support calls much more efficient. We can focus on answering your specific questions and reviewing your setup rather than clicking through every page together.

Step 3: Invite Your Staff

Invite your front office administrators and other team members to the system.

To invite a staff member, you'll need:

  • First name

  • Last name

  • Email address

They'll receive an email link to create their password and access the system.

Phase 2: Training & Support

Front Office Staff Training

We'll schedule Zoom training sessions with your staff to go over:

  • Making appointments using the schedule

  • Charting notes

  • Standard workflows

  • Patient portal features

  • Customizing forms

Scheduling Training Sessions:

  • We're available mornings and evenings to work around your practice hours

  • We can record sessions for staff who can't attend live (but live attendance is much more effective)

  • We'll provide a mock patient account for staff to practice with

  • We'll help customize any forms you want to use

During training, we'll learn the specifics of your practice—things like overlapping service rules, room management, products you prescribe—so we can show you exactly how to use AcuBliss for your workflows.

Practitioner Training

We'll also schedule training sessions specifically for your practitioners. This can be recorded for anyone who can't attend live.

We'll cover:

  • Checking in patients

  • Using AIScribe to capture entire notes with one button

  • Reviewing and editing AI-generated SOAP notes

  • Efficient charting workflows

The system is designed to be intuitive, but understanding your specific setup makes the training much more valuable.

Insurance Billing Training (Optional)

If you're interested in using our revenue cycle management platform, we can arrange training with our insurance billing specialist.

AcuBliss is a complete RCM platform where you simply produce the SOAP note and the system handles:

  • Invoice generation

  • Superbill creation

  • Claim generation and submission (Office Ally or ClaimMD)

We have a comprehensive video walkthrough of the entire insurance billing flow that we'll share with you.

Phase 3: Data Migration

When you're ready (after completing setup and initial training), you'll reach out to your current software vendor to request:

  • Patient Demographics – Spreadsheet of all patient data

  • Health Records – Zip file of all patient health records

  • Appointments – Spreadsheet of all past and future appointments

Once you receive this data, we'll help you import everything into AcuBliss. Don't worry about this step yet—focus on getting set up first.

Your Onboarding Roadmap

Here's how to approach your transition to AcuBliss:

✅ Step 3: Document your questions and future to-dos

✅ Step 4: Schedule a support call to review your setup and answer questions

✅ Step 5: Invite your staff members, this would have been done on the set up wizard

✅ Step 6: Schedule training sessions for front office staff and practitioners

✅ Step 7: (Optional) Schedule insurance billing training through Janetta if you need a biller or advisor, she's great.

✅ Step 8: Request data export from your current vendor

✅ Step 9: Import your data with our help
