Overview
If you need to block out a treatment room on specific days—like Tuesday through Thursday—for a class or other use, you can do so by creating a dedicated service and scheduling it for a mock patient. This approach ensures the room is visibly occupied and not available for patient bookings during that time.
Steps to Block a Room
Create a Custom Service
Go to Settings > Practice > Services.
Create a new service and name it something like “Block Room”.
Uncheck “Online Booking” to ensure this service cannot be booked by patients.
Assign the Service to Work Hours
Navigate to your Schedule > Edit Work Hours.
Select the room you want to block.
Add the “1 Room” service to that room’s schedule for the desired days (e.g., Tuesday to Thursday).
Set it to repeat weekly if needed.
Use a Mock Patient
Go to the calendar and create an appointment using the “1 Room” service.
Assign it to a mock patient profile.
Place the appointment in the designated room and time slot.
Make the appointment recurring if it’s a regular weekly block.
Visibility and Control
This service and appointment will now show clearly on your schedule as occupying that room.
Since it is not available for online booking, patients won’t be able to see or schedule over it.
Pro Tip
If you’re trying to block the room for an entire day, you can set the appointment duration to the full day length (e.g., 10 hours). We’re also looking into enabling longer service durations in the future to make this even easier.
