How to Import Your Patient information

Quickly import your patient demographics, health data, and schedule using your existing spreadsheet files.

Overview

Getting started with your practice platform is easy with the import tool. You can bring in all your patient demographics, health records, and past or future appointments directly from your previous system—no need to format the file. This guide walks you through the import process and explains how to handle errors, match fields, and merge duplicates.

Step 1: Import Patient Demographics

  1. Go to: Settings > Import Data

  2. Upload Your File:

    • Most systems will give you a spreadsheet (Excel or Google Sheets format).

    • Drag and drop it into the upload box or click to select the file manually.

    • No need to convert it into a special format—we’ll guide you through matching the data.

  3. Field Matching:

    • Fields like First Name, Last Name, and Date of Birth must be matched.

    • If a column is not automatically matched, select the correct field from the dropdown.

    • You can Ignore columns you don’t need or add them to Miscellaneous to keep the data.

Step 2: Resolve Import Errors

After uploading:

  • The system will highlight rows with missing required fields (e.g., name or valid date of birth).

  • You can:

    • Edit individual entries to fix errors.

    • Skip importing rows with issues.

  • Click the “Show only items with errors” checkbox to review problematic entries easily.

Once errors are cleared or skipped, click Import to finalize.

Step 3: Handle Suspected Duplicates

After import:

  • Any potential duplicate patients will be flagged based on shared data (like name or DOB).

  • Click Review and Resolve to merge duplicates:

    • You’ll be shown both entries and prompted to select which one to keep.

    • Confirm your decision, and the system will merge the records into one.

Step 4: Import Health Records & Schedule

Once demographics are imported:

  • You’ll be able to import:

    • Health records (SOAP notes, etc.)

    • Past and future appointments

  • Follow a similar upload and matching process.

Tips and Support

  • Use Google Sheets or Excel formats.

  • Even incomplete spreadsheets are OK—missing phone numbers or gender fields won’t block the process.

  • Use the blue support bubble to book a call if you need help.

  • You can preview what the import will look like before finalizing.
