Control which offices, services, and practitioners are visible for online booking in your patient portal.

Overview

Your patient portal’s online booking page can be fully customized to reflect which offices, practitioners, and services are available for scheduling. This guide walks you through how to control visibility settings, set preferences for how patients view available slots, and configure waitlist options.

Controlling What’s Available for Online Booking

To manage online booking settings:

  • Navigate to: Settings > Schedule

This brings you directly to the online booking configuration page.

  • Customize Availability:

    • Offices: Uncheck an office (e.g., Alameda) to make it unavailable for online booking.

    • Practitioners: Deselect any practitioner you don’t want visible for online scheduling.

      • If you’d like a practitioner to appear in the portal but not be bookable online, that’s possible too.

    • Services: You can deselect services you don’t want patients to book online, while still listing them to raise awareness.

  • Disable Online Booking Entirely:

Deselect all offices, practitioners, and services. Use the Edit button at the bottom to write a custom message (e.g., “Please call our receptionist to schedule an appointment”).

Customizing the Patient Booking Experience

There are two interfaces for how patients book online:

Default View – “Show appointment list”:

Patients select a practitioner > office > service. Then they are shown a list of all available time slots.

  • Preferred time slots are highlighted.

  • Patients can scroll, pick a time, or join the waitlist.

  • Best for quickly viewing available hours.

Alternative View – “Select date first”:

Patients choose their service, then select a date using a mini calendar.

  • Only appointments on that chosen date will be shown.

  • Suitable for patients with fixed availability.

You can preview either view by going to Settings > Patient Portal and selecting “View as Patient.”

Using the Waitlist Feature

The waitlist is enabled by default and includes a helpful notification bot that reaches out to patients when slots become available. It’s recommended to leave this on for optimal appointment management.

Troubleshooting Yellow Alerts

If you see a yellow alert next to any service, practitioner, or office, it means no work hours have been scheduled for them. To fix:

  • Go to Schedule > Work Hours.

  • Assign work hours and specify which services are allowed during those times.
