Visits

Visits are like a “hub” for patient encounters. “Checking in” a patient automatically creates a Visit and you can also create a visit manually on the practice-wide or patient visit list here. Today’s date will appear automatically, and note that you can also create these for the past encounters as well. 




Visits show “Service” charges, “Product” charges, display the ICD-10 diagnostic codes, and when you’re producing a “Superbill”, the CPT procedure codes with “time of service” discounts are shown as well. 




Some offices prefer patients to pay for their services before their treatment and one can select those services here and even collect payment at the same time. 


Note that “missed appointment fees” and “packages of services” may be selected here on the visit page. Only products that don’t require a prescription can be added here on the visit page, otherwise they have to be added in the linked intake or prescription. The only exception is refills. If a practitioner has prescribed a formula or supplements with refills, any staff member such as a receptionist can add it to a visit/invoice. 


You can give discounts for anything here and if you’ve given discounts for items in the past, the discount history is shown below. Sales tax, if there is a fee for filling a prescription are all shown here on the visit and can be removed if needed. 


For superbill purposes, the patient’s Insurance profiles show at the top and you can easily collect the copayment and/or estimated coinsurance as well. If there was another “responsible party” as set up in the demographics, then you could select that party here


Collecting payments happens at the “Invoice” and “Superbill” levels, so you’ll often save the visit and go to the invoice/superbill. 


All of the patient’s outstanding charges from previous visits will show here on this page so you can be aware of these. If you’d like to delete charges from an invoice or superbill, do so in the visit associated with the invoice.
