Invoices

Invoices receive the charges gathered from intakes, prescriptions, put into visits and displayed in invoices, allowing you to collect payment for them. The history of every financial interaction with the encounter is displayed--who did what and when, along with the status of each charge. Here you can do all you will ever want to do including collecting payment, refunding, adjusting, and voiding charges. 


If you need to take notes on a particular invoice do so here and all staff will be able to view these internal notes. 


You can view the “Invoice PDF” in order to print or download the file, but also remember that patients can see these invoices in the patient portal, so you can instruct patients to simply go there to download what they wish. 


Notice that the invoice has important information such as their address, the date of service, practitioner, tax ID, balance due, payment history, credit available and their upcoming appointments at the time of generation. If you haven’t added a logo or filled out your header or footer, go to Settings>Practice>General to set that up. 


From the Invoice list, you can perform lots of actions with the arrow to the far right of the screen such as taking payment, editing the linked visit, or adding the invoice to the print queue. 


Some rules to go over! 

  • Once a charge has been paid, it cannot be deleted from the visit/invoice/superbill. 

  • Looking at an invoice and want to make it look different? Go back to edit the visit and delete charges or change the quantity of items and then save and view the invoice again. 

  • Practitioners only can prescribe items that require a prescription, but any staff with access to billing can sell those products that have refills available to them, so they may be added to a “visit” for example by a receptionist when there are refills.
