How to Share a Package Between Family Members

Learn how to apply a package from one patient to a family member’s visit while maintaining accurate billing records.

Overview:

In cases where a patient wishes to share their pre-purchased package with a spouse or family member, you can do so while keeping accurate notes and billing in the system. The package will always reside on one patient’s chart, but sessions can be recorded for someone else as long as it’s clearly documented.

How to Share a Package Session:

  1. Log the Visit on the Package Holder’s Chart

    • Go to the chart of the patient who owns the package.

    • Navigate to the Charges page and add a manual charge for the service.

    • Deduct the session from their package adding the service into the charges.

    • Make a note on the session indicating that it was used for their spouse (e.g., “Session used for John Doe, spouse”).

  2. If needed create a Charge for the Other Person

    • If you charged the patient who received a treatment, you may adjust their balance to zero.

    • Adjust the invoice amount to $0.

    • The financial accounting will remain attached to the original package holder, while the clinical record appears under the correct patient.

Best Practice Tip:

Always make clear notes in both charts to ensure transparency for audits, billing, and clinical tracking.
